We need a Coordinator who is passionate about:
Navigating Complexity by managing new applications and renewals for resident, non-resident, sterile, and non-sterile compounding licenses across all 50 states.
- Driving Precision through the timely submission of documentation and continuous monitoring of regulatory requirements to ensure zero lapses in compliance.
- Empowering the Network by working closely with Pharmacists-in-Charge (PICs) and the Director of Compliance/QA to maintain audit readiness and support vital quality assurance activities.
Key Responsibilities
Pharmacy Licensing Management (Primary Function)
- Coordinate and track all pharmacy licenses for all three 503A FarmaKeio pharmacy locations, including:
- Resident pharmacy licenses (Texas, Arkansas, New Mexico)
- Non-resident pharmacy licenses
- Sterile and non-sterile compounding licenses
- Work directly with site PICs and the Director of Compliance/QA to obtain necessary documents for license applications and renewals.
- Prepare, submit, and monitor new license applications and renewals to ensure uninterrupted compliance.
- Maintain a comprehensive licensing calendar with renewal deadlines, submission timelines, and requirements for all states.
- Communicate professionally with Boards of Pharmacy and other regulatory agencies regarding application statuses and compliance requests.
- Maintain organized, audit-ready records for all licenses, applications, correspondence, and supporting documentation.
- Assist with facility-related credentialing and registrations (e.g., compounding registrations, controlled substance-related documents where applicable).
Quality Assurance & Compliance Support
- Assist the Director of Compliance/QA and site PICs in preparing for and conducting internal and external quality/compliance audits.
- Maintain and update compliance documentation, SOPs, and required quality records.
- Support monitoring and compliance with USP <795>, <797>, and <800> standards.
- Help track and support CAPAs, deviations, and follow-up actions to ensure timely resolution.
- Assist in readiness for regulatory inspections and accreditation surveys.
- Collect data and maintain logs related to compliance metrics, environmental monitoring, temperature logs, and other QA programs.
Required Qualifications
- Associate’s degree required; Bachelor’s preferred (healthcare, regulatory affairs, business, or related field).
- 1–2 years of experience in regulatory compliance, licensing, administrative support, or pharmacy operations (pharmacy or healthcare strongly preferred).
- Knowledge of pharmacy regulatory requirements; familiarity with sterile/non-sterile compounding regulations a plus.
- Excellent organizational skills and ability to manage multiple deadlines across multiple state jurisdictions.
- Professional communication skills, including the ability to interact effectively with regulatory agencies, PICs, and internal leadership.
- Proficiency with Microsoft Office, Google Workspace, and document management systems.
Preferred Qualifications
- Experience with pharmacy or healthcare licensing, credentialing, or regulatory filings.
- Familiarity with 503A compounding regulatory requirements.
- Experience supporting audits (state board, DEA, FDA, PCAB/ACHC).
- Knowledge of quality systems, CAPA processes, and compliance documentation.
